Philanthropy Coordinator

The Philanthropy Coordinator plays a key role in advancing Rocky Mountain Public Media’s fundraising efforts by supporting donor stewardship, strengthening relationships with major donors, and ensuring the smooth coordination of philanthropy operations. This position works closely with the Major Gifts team to provide administrative, communications, and logistical support that helps cultivate, solicit, and steward donors.

A central function of the role is serving as a liaison between the Philanthropy team and internal partners-including data, marketing, membership, events, and external fundraising partners-to ensure strong coordination, consistent messaging, and timely donor engagement. The Philanthropy Coordinator helps ensure donors receive thoughtful, personalized stewardship while supporting the systems and processes that enable gift officers to focus on relationship-building and fundraising.

This role combines donor relations, project coordination, data management, and communications support. The ideal candidate is highly organized, collaborative, and detail-oriented, with a commitment to delivering excellent donor experiences and supporting the mission of public media.

Key Responsibilities
  • Donor Stewardship & Acknowledgements
    • Prepare timely acknowledgements and renewal letters for Major Gift donors.
    • Coordinate personalized stewardship touches
    • Support reporting and follow-up activities to ensure donors feel valued and connected.
    • Support major donors with constituent record updates, including passport initiation, change of address, providing tax receipts, etc.
    • Manage the Philanthropy phone tree line.
  • Gift Agreements & Data Management
    • Draft, route, and track gift agreements for Major and Campaign donors.
    • Maintain donor records in the CRM, ensuring accurate documentation of donor interactions, pledges, and stewardship activities.
    • Monitor and update donor lists, including event invitations and recognition records.
    • Cross-train on the gift entry process.
  • Donor Research & Communications
    • Support ID and qualification strategies to ensure open pipeline into major donor portfolios.
    • Liaison for collateral creation that supports solicitation and stewardship.
    • Maintain the integrity of the case to support station priorities and specific fundraising campaigns.
    • Draft emails, letters, acknowledgements, renewals, and other donor-facing communications.
    • Communicate with donors regarding pledges, gift agreements, and other follow-up needs.
  • Donor Event Support
    • Support the Philanthropy Team with logistical and administrative planning and support for events and receptions.
    • Coordinate/create pre and post event communication for event guests.
    • Serve as Philanthropy Team Liaison to Event team.
  • Major Gifts Team Support
    • Prepare donor briefings, talking points, and background materials for meetings.
    • Coordinate stewardship and recognition efforts across teams to ensure consistent messaging and recognition deliverables are fulfilled as promised.
    • Serve as liaison for membership drives
  • Catapult/3rd party Fundraising Team
    • Serve as liaison with 3rd party fundraising team
    • Share organizational updates with 3rd party
    • Ensure collateral and other needs are in full supply
    • Facilitate data exchange between Catapult and data role

  • Adaptability & Problem Solving: Demonstrates initiative and flexibility in a fast-paced fundraising environment, identifying solutions and helping improve processes when challenges arise.
  • Mission Alignment: Shows enthusiasm for the mission of public media and an understanding of how philanthropy supports journalism, educational programming, and community engagement.
